Editing and proofreading many years ago was a lot of work than the current methods of using the computer to perform these tasks. On screen programs have made it easy to edit and proofread and it is now much faster and more efficient to produce a document and finalize its production.

In the old method, an author wrote several pages of material. The text was then written in a word processor and a hard copy was printed on a large sheet of paper with large margins on each side for the editors to make their corrections and comments. They use the Courier 12 font for easier error-spotting. Documents were double spaced so that editors and proofreaders had room to make corrections. The editor uses a red pen for all edits. You need to know the standard proofreading marks when doing corrections. Proofreaders marks were placed on the left side margin and editorial comments on the right side. It would take two or three passes depending on how much work was needed to improve the quality of the document. After the text is edited, graphics had to be incorporated into the document. This is done after the final print out. The standard way of placing graphics was cutting and pasting into the document before going off to the publisher. This process with printed documents that had to go back and forth cost a lot of money in paper ink, salaries and time to get the product completed. Today, this is no longer the case. Now we are able to do things using programs that keep track of out edits.

A lot of authors today write their documents in a word processing program but they don't want to clean up the document. They submit their draft format to be finalized for publication. Editors and proofreaders use the software to make comments and corrections. Changes are all shown in red an are noted in the right Colum using the balloon feature. This allows the editors and proofreaders to post comments for the receiver on the document. All changes made to the document can be shown with the balloon feature. There are additional editing and proofreading tools available including spelling and grammar checkers, research tools and a thesaurus. When editing and proofreading is completed, each change is gone over and they either accept or reject the change. They can do these all at once. It is also easier to incorporate graphics with the ability to insert graphics into the on screen document.
